Premium Features

NemoVote runs in the Web browser of the client. All modern browsers and devices are supported. No downloads or extra apps are needed. The onboarding and set up of NemoVote for the administrator is very easy. Voters can be uploaded in bulk using a simple spread sheet. The passwords for the voters can be automatically generated in the app and send out simultaneously with the included bulk email service. NemoVote offers a powerful user management: You can adjust your voting rights at any time (except for an ongoing vote of course); new voters can be easily added or removed from the voter lists.

NemoVote has all the features that you might need for your elections and for replicating your voting system. On this page we will give you an overview of the most important features.

Voting Features

In the user management you can add or remove voters, change emails or passwords, send out automatic emails and upload as many voters as you need with only a few clicks. Furthermore, you can edit the vote weight of each voter if required by your voting system and much more.

Advanced User Management

Want to ask and answer questions? Communicate together with broadcast messages. As administrator you can use the broadcast function to send links or messages during the meeting directly to all your members with the broadcast function. It will automatically pop up in the NemoVote app for them.

Use the vote description to establish candidate profiles. You can even add pictures for more information. As Voter you can easily identify what the vote is about. Each ballot includes an optional vote description. The vote description can be edited with a rich text editor. This enables you to not only add and style the text that will appear with your ballot but also to include images or links. You can also use this to add candidate profiles to your election.

You want to welcome the voters with your Agenda? Customize the page with pictures and text. Voters tend to like the greet. Customize the voter landing page with the included rich text editor. Add text and media regarding to your event on this page. This will be the first page that a voter sees after the login.

You might want to share additional information when you invite a voter. Customize the invitation email with pictures and text. NemoVote allows you to send and manage emails with automatic generated passwords and links. Check the delivery status of each email directly in the app. You can also customize and edit the invitation email that your voters will receive. Great to share more information with your voters.

If you don’t need a subscription but have recurring events and want to keep your data in NemoVote and also for your voters to keep their passwords and logins, for a small fee, the data will be kept stored on the secure NemoVote voting servers, ready to be activated again when you need it. Data retention is charged annually and needs to be renewed to remain active.

Data Retention

Don't do all the work alone. Add as many staff as administrators as you need at no extra cost. NemoVote is only charged by the number of voters, not by the number of administrators. To preserve the integrity of the ballot, administrators cannot have voting rights in NemoVote.

Multiple Administrators

It’s not always blue or red. Voters might need to vote for both. As administrator you can set the vote up as you need it. NemoVote offers both single and multiple choice ballots. More advanced options, such a minimum/maximum number of choices is also available. This helps you to create exactly the ballots that you need for your vote.

Not able to attend the vote? Just inform your administrator on who should proxy for you. As administrator set up a voter list for proxy votes and add them to your vote. NemoVote offers several options to implement proxy votes i.e. someone giving their voting right to another person. This way a person can carry more than one voting right and you can set up the voter roll exactly according to your bylaws.

Get voting results in an instant. Either live as the vote is open, or as soon as the vote is closed. Set the vote up as private as you need it to be. Open & close votes and access results in real time. All votes can be prepared, edited both during the event and also in advance. Perfect for assemblies or AGMs. You can exactly specify when and to whom the results will be accessible according to your needs.

Realtime Results

Your quorum might require a set of voters. Check who is online with the roll call function. With this function you can check live who is logged in and "present" in the app. This enables you to both check if all your voters managed to log in and also to directly assess if e.g. your statutory quorum for a vote is reached.

Usually, voters in NemoVote are created by the administrator. This means, that each voter will get logins either from the administrator directly, or via the integrated bulk email function in NemoVote (send credentials function).

When the voter then logs in, they will be prompted to change that initial password, and they can set their new password directly on their NemoVote home page.

<Tip>We highly recommend for all voters to change their initial password for the following reasons: (1) Security: In cases where the login is created by the administrator and then distributed to the voters, the administrator might still have access to a voter’s passwords. (2) Ease of use: the automatically generated password is usually rather cryptic. It is recommended, that passwords are changed to a secure password, that the voter can remember easily.</Tip>

This prompt will stay in place until the voter changes their initial password. They can opt to not change the password and continue with the initial password.



What is the dark mode? It is a handy function is available in NemoVote. It allows you to apply an inversion of background and text color in NemoVote minimising eye strain by your screen. In this article, we’ll show you how you can activate this function in your settings.

## How to activate Dark Mode

Dark mode is available for voters. You can activate it in your profile settings.

- Go to My profile
- Find the Dark Mode toggle and activate it.

In this article you will learn how to edit and change profile settings for voters in NemoVote.

You can find your profile under "My Profile" in the main menu.

In your Profile settings you can do the following things:

- Edit your Display name
- Edit your email. This is important as password-reset emails will be sent to the address used here.
- Change your password
- Activate the Dark Mode



NemoVote runs in any modern web browser. In the normal setting, NemoVote is displayed like a web page, where you see the browser tab bar and address bar. You can choose to display NemoVote fullscreen by clicking the fullscreen button (upper right corner)

You can exit the fullscreen by clicking again on the icon or by using the ESC-Key of your laptop/computer.



You can securely log out of NemoVote by clicking on your username on the top bar on the right and then choosing log out.
Signing out this way will close the secure token connection with the NemoVote voting server.

NemoVote supports different languages. As of now, English, German, Spanish, French, Dutch, Russian, Danish and Icelandic are available. Further languages are available upon request (and at extra cost depending on the effort/time it takes to implement them).

At the moment the different languages are available for the voter frontend (the interface that your voters will use to vote in NemoVote. The pages for the administrator will remain in english for now.

## Changing Language upon login

Any voter can choose the language directly in the login window. This change will also apply to the text in that window.

You can change your language directly in the app by selecting in the top navigation bar as shown in the picture above.

## Setting of Default language (Administrator)

As administrator, you can set the default language (the language that will automatically be applied when a voter logs in to NemoVote. They can still change the languages for themselves after login.

You can set the language in the System Management.

Sometimes it will be necessary to reset a password of a voter. Passwords can be reset in NemoVote by the voter themselves and also by the administrator.

<Tip>Voters can only self-reset their password if an email-address is stored in their NemoVote account.</Tip>

## Password reset by the voter

If a voter has forgotten their password, they cannot log in to NemoVote. NemoVote Cloud provides the option to reset the password directly from the main login window by clicking on "Forgot password?". After entering the email and clicking the reset password the voter will get an email with a new password.

## Password reset by the administrator

### Manual reset (not recommended)

The administrator can manually change a voter’s password directly in the user management by clicking "edit user" and then typing a new password. This function is intended for live, in-person voting events where a voter can approach the administrator desk and have their password reset to a temporary password if they forgot their current password.
For security reasons we do not recommend this method for online voting events (see other option below).

### Automatic reset (recommended)

You can resend an invitation mail to a specific voter by clicking the mail symbol in their linen the User Management. With this function NemoVote will reset their password and send them a new secure password via email. The voter can log in with that new password and then change the password to a different one.

This icon will only appear for voters and only if the respective voter is set up with an email address in the system.

If the vote results are accessible to voters, they will be able to access the results through the vote overview page by clicking the blue results icon.

- Voters: How many voters voted in this vote and how they voted in respect to the different vote options
- Votes: How many total votes where submitted. This is equal or greater than the amount of voters, because one voter can have several voting rights through different voter lists.
- Percentage: The percentage is calculated according to the amount of votes.
- Voter lists eligible for this vote: Shows which voter lists where eligible for voting in this vote and how much weight the voter lists had.

## Show voter ballots

As a voter you have the ability to check your own voter ballot after submition.

Each submitted vote gets a unique Transaction Id which can be used for autiding purposes (verifying that the submitted vote equals the recorded vote).

The vote choice is only available for votes that where set to public ballot. For secret ballots the vote choice is not saved in the NemoVote database and not accessible to anyone (even to the voter that submitted it). This ensures the anonymity of the ballot.



## Overview of My Votes

The main voting menu of the voter has the following appearance:

The voter has an overview of the currently open and closed votes. The voter can only see votes that where assigned to a voter list which the respective voter is a member of. In the picture above, there are currently no open or closed votes.

If there are several open votes, the voter will see them in the open votes list as shown in the picture above. The voter can proceed to voting in a vote by clicking the blue vote button.

In the "Open votes" tab the voter can see what date and time the respective vote was opened.


## Voted status

In the "Voted" column the voter will be able to see if and how many votes they have already submitted in a respective vote. The green checkbox indicates that the voter has with all assigned voting rights in that specific vote. Due to voter lists, a voter can have more than one voting right in a vote. This is indicated in the "Voted" column for example as "(0 of 2 votes)". If a voter has submitted only 1of 2 votes, they can vote with their second vote using the blue voting button.

## Vote closes …

If an automatic closing time is specified for a vote, the voter will be able to see when that vote will be automatically closed in this column.

## Access results

The voter can access results by clicking on the blue results button next to a vote.

The results button may be available *during* a vote, after a vote or not at all to the voter depending on the settings set by the administrator for that vote.

## New vote opened

When a new vote is opened, all voters that are members of voter lists that that vote uses, will get a popup message in the app notifying them that a new vote has been opened. They can click that notification to go immediately to the vote.

<Tip>This notification will automatically disappear after a certain time.</Tip>

## Submitting a vote

After clicking on the vote button in the vote overview or in the new vote prompt the voter will be taken to the vote page.

If the voter has multiple voting rights in this vote through multiple voter lists, they have to select which voter list they are currently voting with; then they have to select their vote choice.

After selecting their vote option, the voter will get a prompt asking to confirm their vote choice. By clicking Ok the vote will be sent to the NemoVote voting server.

## Vote Success – Quality assurance

NemoVote has an integrated quality assurance system that ensures that **every vote can only be summited once and not changed** after that. After a vote is recorded in the voting server, the server sends a prompt to the respective voter indicating that the vote was recorded properly. The voter will immediately get a visual confirmation that their vote was properly recorded. If due to bad connection or other issues the vote is not properly recorded in the voting server, the voter will not get that confirmation but and error message and has to vote again.

From the Vote Success page the voter can go back to My Votes and vote on other votes. If the vote results are accessible for voters during the vote (live results), the voter can click on a button and is redirected to the page where they can see the live results of the current vote.
