Premium Features

NemoVote runs in the Web browser of the client. All modern browsers and devices are supported. No downloads or extra apps are needed. The onboarding and set up of NemoVote for the administrator is very easy. Voters can be uploaded in bulk using a simple spread sheet. The passwords for the voters can be automatically generated in the app and send out simultaneously with the included bulk email service. NemoVote offers a powerful user management: You can adjust your voting rights at any time (except for an ongoing vote of course); new voters can be easily added or removed from the voter lists.

Voting Features

In the user management you can add or remove voters, change emails or passwords, send out automatic emails and upload as many voters as you need with only a few clicks. Furthermore, you can edit the vote weight of each voter if required by your voting system and much more.

Advanced User Management

Want to ask and answer questions? Communicate together with broadcast messages. As administrator you can use the broadcast function to send links or messages during the meeting directly to all your members with the broadcast function. It will automatically pop up in the NemoVote app for them.

Use the vote description to establish candidate profiles. You can even add pictures for more information. As Voter you can easily identify what the vote is about. Each ballot includes an optional vote description. The vote description can be edited with a rich text editor. This enables you to not only add and style the text that will appear with your ballot but also to include images or links. You can also use this to add candidate profiles to your election.

You want to welcome the voters with your Agenda? Customize the page with pictures and text. Voters tend to like the greet. Customize the voter landing page with the included rich text editor. Add text and media regarding to your event on this page. This will be the first page that a voter sees after the login.

You might want to share additional information when you invite a voter. Customize the invitation email with pictures and text. NemoVote allows you to send and manage emails with automatic generated passwords and links. Check the delivery status of each email directly in the app. You can also customize and edit the invitation email that your voters will receive. Great to share more information with your voters.

If you don’t need a subscription but have recurring events and want to keep your data in NemoVote and also for your voters to keep their passwords and logins, for a small fee, the data will be kept stored on the secure NemoVote voting servers, ready to be activated again when you need it. Data retention is charged annually and needs to be renewed to remain active.

Don't do all the work alone. Add as many staff as administrators as you need at no extra cost. NemoVote is only charged by the number of voters, not by the number of administrators. To preserve the integrity of the ballot, administrators cannot have voting rights in NemoVote.

Multiple Administrators

It’s not always blue or red. Voters might need to vote for both. As administrator you can set the vote up as you need it. NemoVote offers both single and multiple choice ballots. More advanced options, such a minimum/maximum number of choices is also available. This helps you to create exactly the ballots that you need for your vote.

Not able to attend the vote? Just inform your administrator on who should proxy for you. As administrator set up a voter list for proxy votes and add them to your vote. NemoVote offers several options to implement proxy votes i.e. someone giving their voting right to another person. This way a person can carry more than one voting right and you can set up the voter roll exactly according to your bylaws.

Get voting results in an instant. Either live as the vote is open, or as soon as the vote is closed. Set the vote up as private as you need it to be. Open & close votes and access results in real time. All votes can be prepared, edited both during the event and also in advance. Perfect for assemblies or AGMs. You can exactly specify when and to whom the results will be accessible according to your needs.

Realtime Results

Your quorum might require a set of voters. Check who is online with the roll call function. With this function you can check live who is logged in and "present" in the app. This enables you to both check if all your voters managed to log in and also to directly assess if e.g. your statutory quorum for a vote is reached.

This article will give you a short overview of how to proceed after login into NemoVote for the first time as administrator.

So what do you need to take care of to start voting?

## Adding your first voters

NemoVote uses a verified voter system, so only someone who is logged in as a voter (via login credentials) and is given voting rights by the administrator can vote in a specific vote. In order to start voting, you need to decide how to add your voters in NemoVote and there are different strategies for different situations. We explain this in detail in our article on Voter Onboarding.

## Voting Rights
Now you have all your voters in NemoVote; You may choose to send them their login credentials now or later with our integrated credential email tool. The next thing that you need to do is to consider how to administer your voting rights.

Voting rights in NemoVote are distributed by voter lists. You can group voters into different lists and give one (or several) of those voter lists voting rights for your votes. You can choose for each vote individually which voter lists will get voting rights.

<Tip>If you have a simple voting system (no subgroups, no weighted voting, no proxies) and just want everyone that is logged in to vote, you don’t need to deal with voter lists. There is already a "All voters" voter list pre-installed (not editable). If you add that list to a vote, everyone will be able to vote. If you wan’t to remove voting rights from individual voters, you will need to create a new voter list though as shown in our article on voter lists.</Tip>

## Adding your first vote

Now that you have voters and voter lists set up you can add your first votes. Within your NemoVote installation, you can create as many votes as you want and have several votes open at the same time.

You can prepare votes in advance and save them as draft votes and set them live when needed.

We go into the details on how to create votes and what the different settings mean in our article linked below.

When sending out credentials to your voters the receive an automated invitation email.
You can edit the invitation email (login credentials email) that your voters will receive from NemoVote

Head to the system management. There you will have the option to change the subject of the email and also add a custom text in the email.

<Tip>Add a meaningfully email subject including your organisation and/or event name, so that your voters will easily understand what this email and the credentials are about.</Tip>



In this article we will take a comprehensive look into how to set up your voters in NemoVote. There is some overlap to our article on "User Management" in NemoVote and this article. For the purpose of this article we will not go into the basic functions of the User Management (such as access levels) but will discuss the usecase that you have an empty instance of NemoVote and want to fill it with voters, so that you can start voting quickly.

## General considerations and onboarding strategies
One important question that you need to consider is if you want to add email addresses to each voter account or not. The unique identifier of a voter (or administrator) in NemoVote is the username. Every username can exist only once within NemoVote. This means that every voter needs to have a username. Setting up an email address is optional.

<Tip>As the username is the unique identifier, it is possible to link several voter accounts (or admin accounts) to the same email address!</Tip>

<Tip>We highly recommend to consider having an email linked to every account in NemoVote to enable password reset.</Tip>

Now to the different strategies for voter onboarding. There are 3 ways to add voters in NemoVote.

- Add voters manually through the User Management
- Upload voters in bulk through the "add multiple voters" function in the User Management
- Let voters sign up themselves through the sing up function
We explain the option 1. in our article about the User Management in more detail. In the following we will explain the upload of multiple voters

## Upload multiple voters

This is the most commonly used way to onboard many voters in NemoVote. All you need is the email addresses of everyone that should be set up as a voter.

The upload function allows you to upload as many users as you want with a simple copy and paste from a spread sheet software (e.g. Excel, Numbers etc.). The process works like this you copy the voter details from your spread sheet software in to NemoVote; then NemoVote will automatically recognise the information; once you confirmed the upload, NemoVote will generate secret passwords for each voter. You then can chose to send the login credentials directly via email to all voters or skip that step and let NemoVote send them later.

You can access the tool by clicking the button shown above that is situated in the User Management. This will lead you to the following page, where the voter upload will happen.

Currently, the upload tool supports uploading the following voter information:

- Username
- Email
- Displayname
- Vote weighting: Therefore you need to set the checkbox to "Show advanced template". This will enable you to set a vote weight on the individual voter basis using a number and directly add that vote weight when uploading the voters

We will explain in the tutorial below how to upload voters into NemoVote from Microsoft Excel.

## Credential Email

Once you send a credential email they will be delivered the domain name of your cloud (URL), their username and their initial password via email to the email that is set for them in the user management.

<Tip>Troubleshooting: Did some voters not receive their credentials? Please ask them to check their spam folder. We use a very reliable and industry leading mail delivery service, that is compliant with the GDPR European Data Privacy Regulations but it is still possible that due to the way some mail providers set up their spam filters that some of the credential mails may end up in spam.</Tip>

## Sign up

What about the sign up then? NemoVote has a sign up functionality that allows all persons with the link to the cloud to create a voter account (assigning a username and password to themselves). This is useful for organisations/events that do not have a voter registry of all voters and want people to create their on voting accounts. This function is natively disabled in NemoVote. Should you need access to that function, please contact our support at team@nemovote.com to get it enabled.
