Introduction: Onboarding Voters in NemoVote
This article explains how to efficiently onboard voters in NemoVote, allowing you to start your elections quickly and securely. We’ll guide you step-by-step on how to populate NemoVote with the voter information you need to conduct votings online.
Step-by-Step Guide From Preparation to Invitation
Step 1: Preparation for Secure Voter Onboarding
To ensure a smooth and secure voter onboarding process in NemoVote, you need an email address for each voter. Collect all required information in an Excel file, including optional details like:
- Username: e.g., surname, organization, or group, which allows voters to log in in addition to their email address.
- Display Name: This name is visible to administrators and, in non-secret elections, can optionally appear in the election export.
Tip: We recommend assigning an email address to each voter to simplify password resets and sending invitations.
Step 2: Your options to add voters
There are three ways to add voters to NemoVote:
- Manually: Add voters individually through the user management system.
- Bulk Upload: Add multiple voters at once using an Excel spreadsheet.
- Self-Registration: Allow voters to register themselves via a secure link (optional).
Step 3: Bulk Uploading Voters
The Bulk Upload is the most efficient way to onboard a large number of voters simultaneously. Here’s how it works:
- Copy the data (email addresses and optional username/display name) from your Excel file.
- Paste it into NemoVote.
- NemoVote will automatically create passwords and send login credentials (or you can do so manually later).
In the user management menu, click "Add Multiple Voters" to start.
Supported Data Fields:
- Username
- Email Address (mandatory)
- Display Name
- Vote Weight (use the advanced template to enable this).

Step 4: Sending Credentials Personalized via Email
Login credentials can be sent immediately after uploading the voter list. To do this, enable the checkbox "Send Credentials Email Immediately" after uploading. Alternatively, you can send the credentials later by clicking the envelope icon for individual users or selecting "Send All Credentials Emails" at the top right of the user management menu.
Once credentials are sent, voters will receive their login details (username and link) via email. If the email doesn’t arrive, voters should check their spam folder. Using the login link, voters can set their own password.
